 Do I need a specific American Express relationship to use Virtual Cards?  +  
Yes. Virtual Cards are issued as supplementary cards under a physical American Express corporate card. You'll need to designate a dedicated physical plastic card as the "funding card" and register it on the MYCA (Manage Your Card Account) portal. We strongly recommend requesting a new card or dedicating an existing one solely for Virtual Cards.
 How quickly are Virtual Cards issued to guests?  +  
Once you've completed the enrollment and selected Virtual Card as the payment method for an event, individual Virtual Cards are automatically issued to guests when they complete their profile registration. Guests are notified by email and can start using their card immediately.
 What happens when a guest's budget is depleted?  +  
Until you approve additional budget funding requests, the Virtual Card cannot be used as it has no funds assigned. Guests can request additional funds through the platform, and admins can review and approve or decline these requests based on policy.
 Can a guest use their Virtual Card for non-travel expenses?  +  
Virtual Cards are designed for event-related travel and expenses. Spending limits and controls are set per event, and all transactions are tied back to the specific trip or event for reconciliation purposes. You can configure spend rules to restrict usage to specific expense categories.
 Why does the authorized amount differ from the final charge?  +  
This is the difference between authorization and settlement. When a guest makes a purchase, the merchant first authorizes an amount (which may include a hold or estimated total). The final settled amount may differ — for example, hotel incidentals or currency fluctuations. The platform tracks both so you always have a clear picture.
 How do I freeze or unfreeze a guest's Virtual Card?  +  
Admins can freeze or unfreeze any guest's Virtual Card instantly from the platform. Freezing a card blocks all new transactions while keeping the card active for future use. This gives you immediate control if you spot unusual activity or need to pause spend temporarily.
